General Management Consultancy Retainer Policy
  1. Monthly Retainer & Hourly Deduction
Clients are billed a fixed monthly retainer, with services charged back at         an hourly rate. The number of hours covered by the retainer is agreed             upon in the service contract (SOW)..
  2. Use-It-or-Rollover Policy
    • Unused hours do not roll over automatically.
    • Clients may carry forward up to 20% of their unused hours to the following month, provided they remain active on the retainer.
    • Rollover hours must be used within the next billing cycle; otherwise, they expire.
    • Full rollover is not permitted to prevent excessive accumulation and to maintain service availability. In many cases, hours may go unused due to client unavailability, delays in client communication, or delays caused by client-approved third parties. Limiting rollover ensures that our team can provide consistent, high-quality service without backlogs.
  3. Retainer Adjustments
    • If a client consistently underuses their hours, we may recommend adjusting the retainer to better fit their needs.
    • Additional hours beyond the retainer are billed at the agreed-upon hourly rate.
  4. Expiration of Unused Hours
    • Unused hours beyond the allowed rollover expire at the end of each month and cannot be banked for future use.
    • This ensures fairness and maintains service availability for all clients.
  5. Priority Scheduling for Retainer Clients
    • Clients on a retainer receive priority scheduling over ad-hoc or non-retainer clients.
    • Rollover hours must be scheduled in advance and are subject to availability.
  6. Cancellation & Rescheduling
    • Clients must provide at least 48 hours’ notice to reschedule a meeting or service without forfeiting the booked time.
    • No-shows or last-minute cancellations may result in the loss of that time from their allocated hours.
  7. Non-Transferability of Hours
    • Unused or rollover hours cannot be transferred to other clients or projects unless explicitly agreed upon in writing.
  8. Retainer Termination & Final Use of Hours
    • If a client cancels their retainer, any remaining hours (including rollover) must be used before the contract’s termination date, as they will not be refunded or carried forward post-termination.
